Managing Dog Field Bookings Without Double Bookings
· 5 min read
The most reliable way to avoid double bookings on a dog exercise field is to record every confirmed reservation in the same availability calendar. That includes online bookings, appointments arranged by phone, your own training sessions and private use. The calendar needs to be up to date before you confirm another booking.
The same applies to a training ground or an indoor dog training hall. An exclusive booking reserves the entire space. Whether a guest brings one dog or several does not, in itself, change that reservation.
Why do double bookings happen?
A common starting point is separate booking channels. A regular client sends a WhatsApp message, a trainer reserves a session by phone, and another guest still sees the hour as available on your website.
If those confirmations are recorded in different places, the same period can be allocated more than once. This can happen even in a simple business. Two booking channels are enough if a change is not recorded promptly.
Decide which calendar is the definitive record of availability. Check it before confirming any reservation. Record the booking there immediately afterwards.
Which periods need to be in the calendar?
Include other uses of the space alongside paid bookings. The important question is whether the field would be available to a guest during that period.
| Use | What to record |
|---|---|
| Exclusive hire | The space, start time, end time and booking |
| Your own training | The period during which your service needs the space |
| Private use | The occupied period |
| Care and maintenance | A blocked period, for example for mowing or repairs |
| Holidays or closures | The affected days or periods |
| A necessary break | The time you want to keep free between two uses |
If you have several spaces, identify them clearly. "Training on Saturday" does not tell you whether the field, hall or both are occupied.
A simple process for phone and WhatsApp enquiries
When a client enquires outside the booking system, a consistent sequence helps.
- Establish the space, date, start time and duration.
- Check the definitive availability calendar.
- Record the booking with the client, number of dogs and agreed price.
- Confirm the details and payment arrangement to the client.
- Record later changes against that same booking.
Agree within your team who handles these enquiries. If several people can confirm bookings, they all need access to the current information. A message in an internal group can help with coordination, but the appointment still needs to be entered in the calendar.
If you want to offer online bookings, our article on letting clients book appointments online explains how to prepare.
Update a rescheduled booking completely
When a booking changes, consider the old and new periods together. First check whether the requested new time is available. Then move the existing booking and confirm the new time.
If the old appointment remains in the calendar as well, it blocks capacity unnecessarily. If it is deleted too early, before the new time has been secured, there is no reliable reservation.
After making the change, check both places in the calendar. The same principle applies to cancellations: availability and booking status should agree.
Explain access and rules clearly
A well-organised booking also includes the information guests need on arrival. Explain how to reach the space, how access works and when the booked use ends.
If appointments run directly after one another, establish a changeover process. Explain where guests should wait and how encounters at the entrance can be avoided. An additional break may be useful if your location needs one.
Also explain what the space may be used for. A hall intended for agility training can have different conditions from a field used for off-lead exercise. Those differences should be visible before booking.
Our guide to choosing a dog field or training space shows which details guests need when deciding where to book.
Keep prices and payments with the booking
Record the agreed price against each booking. This is particularly useful when duration, the number of dogs or individual arrangements affect the price.
Also record how the client intends to pay and whether the payment has arrived. A confirmed reservation does not answer that question by itself. Our article on tracking payments for a dog training business provides a practical structure.
When describing your service, explain what the price includes. We look at those differences from the guest's perspective in how much it costs to hire a dog field per hour.

In DogOasis, online bookings, your own appointments and blocked periods share the field calendar. You need to enter reservations taken elsewhere promptly. Add blocked periods for any breaks you need. The help for providers explains the process.
Frequently asked questions about managing dog field bookings
Is a paper diary enough?
It can work if one person records every reservation and checks the diary before confirming anything. With online bookings or several staff members, you need a process that reliably brings everyone's availability information together.
Do regular clients have to book through the website?
You can continue to take enquiries personally. What matters is that these reservations appear in the same calendar as other bookings and are taken into account before another reservation is confirmed.
How do I schedule my own training on a field I also hire out?
Record it as occupied time. If your training needs the whole space, that space must be unavailable for simultaneous hire. If you have several areas, make clear which ones are actually in use.
You can see how this works in DogOasis, from the customer to the payment, on the dog school management page.
