Online Booking for Dog Trainers: What to Set Up First
· 5 min read
Online appointment booking allows clients to choose available times themselves. To reduce your admin work, the service, duration, capacity, payment method and rules for changes need to be clear. A properly configured booking system only displays appointments you actually want to offer.
Before adding a booking link to your website, take a closer look at your services. What can a client book without asking you first? Which services require a personal conversation to establish whether they are suitable?
Which services are suitable for self-booking?
Distinguish between a private session, a group activity and exclusive field hire. Your system needs to support the relevant type of booking.
| Service | What the booking process should establish |
|---|---|
| Private training | Who the service is for, its duration, location and available trainer time |
| Group training | Entry requirements, remaining participant places and the dogs attending |
| A course with several sessions | Whether enrolment covers the whole series or individual sessions |
| Exclusive field hire | Which space is reserved, the duration and the permitted number of dogs |
You do not have to make every service bookable online immediately. Start with one that already has a clear process. For example, you could continue to use enquiries for initial contact and only offer suitable follow-up appointments for self-booking, if your system supports this.
Availability means more than opening hours
A time slot is only bookable when the required resource is available too. Depending on the service, that may be a trainer, a field or both.
Include your own training sessions, maintenance, holidays and private use. If you need time between appointments for preparation or an orderly changeover, that time must appear in the schedule too.
Pay particular attention to services that use the same field. A private lesson and a hire booking must not overlap if both need the entire space. Our guide to avoiding double bookings on a dog field provides a practical process.
What does the client need to know before booking?
The service description should answer the questions you would otherwise receive by phone. These include the location, duration, price and requirements.
For field hire, guests also need directions, access instructions and information about how the space may be used. For training, it should be clear whether the service is intended for existing clients and what needs to be discussed or brought along before the session.
Make the rules easy to find. If clients only discover after booking that a service is unsuitable, they have to contact you again. That creates the very enquiries you wanted online booking to reduce.
Set the price and payment method in advance
Show the total price of the selected booking. If the number of dogs, duration or optional extras affect it, those details should already be taken into account during selection.
Then decide how clients will pay. Depending on the system, options may include online payment, payment on arrival or an invoice. For online payments, also check the fees and payout process.
The booking confirmation and your own payment records should agree. A reserved appointment may already be paid for or may still have an outstanding balance. Our guide to tracking payments for a dog training business explains how to keep these details separate.
Make changes and cancellations straightforward
Decide how far in advance clients can cancel or reschedule and how they should do it. Check whether your booking system supports those rules. If changes still arrive by message, you need a consistent process for updating the calendar.
Try cancelling from the client's point of view. Does the time slot become available again? Is any refund recorded clearly? Does the client receive confirmation?
Also test what happens if you have to cancel an appointment yourself. Your team should know how to inform clients and record what happens next.
Test a booking on your phone
Use a test client and go through the booking process on a smartphone. Start on the page where a real client would find the link.
- Choose the service and an appointment.
- Check the duration, number of dogs and total price.
- Enter the requested details.
- Review the rules and payment method.
- Open the confirmation and find the option for making a change.
Note any point where you need to explain something or ask a question. Address those points before offering the booking process more widely.
How does field booking work with DogOasis?
Once a field is approved, DogOasis provides a booking link, QR code and widget. Guests book using their name and email address. Online bookings are for exclusive use of the space. Current rules and payment terms are explained in the help for providers and guests.
If you also want to offer online course enrolment or bookable trainer time, check the required features specifically. Our guide to choosing software for dog trainers helps you describe those requirements.
Frequently asked questions about online appointment booking
Can clients book without creating a new account?
That depends on the booking system. Check whether guest booking is available and how clients access their confirmation. They should be able to see what they have booked and how to contact you afterwards.
Do I have to offer every available time online?
You can limit booking to the times and services you want to release, provided the system supports those controls. Keep internal appointments and blocked periods up to date.
Does a dog training business need online payments?
Online payments can simplify administration, but they are a separate decision from appointment booking. Consider the work involved, the fees and your clients' payment habits. Payment status should remain clear for each appointment whichever method you use.
You can see how this works in DogOasis, from the customer to the payment, on the dog school management page.
